GOLF & LODGING POLICIES
Policies
of Golf Packages of the Carolinas, LLC (GPC)
The individual in whose name the
reservations are made is considered to be the Group
Leader. The Group Leader is the only one who can modify
or cancel the reservations. The Group Leader is responsible
for ensuring that all members of the group are informed
of these policies.
GOLF
PACKAGE PAYMENT POLICY:
• GOLF PACKAGES OF THE CAROLINAS (GPC) IS AN
INDEPENDENT WHOLESALER, THEREFORE PAYMENT FOR GOLF
PACKAGES MUST BE PAID DIRECTLY TO GPC. THE PHONE NUMBERS
AND ADDRESS FOR PAYMENTS ARE SHOWN ON THE CONFIRMATION
& AT THE BOTTOM OF THIS POLICY STATEMENT.
• ALL GUESTS MUST CHECK OUT AT THE HOTEL’S
FRONT DESK ON THE LAST DAY
• INCIDENTAL CHARGES INCURRED WHILE STAYING
AT THE HOTEL (PHONE CALLS, MEALS, ETC.), MUST BE PAID
TO THE HOTEL PRIOR TO CHECK-OUT
• DEPOSITS MUST BE PAID WITHIN 7 DAYS OF BOOKING
• ALL PACKAGES MUST BE PAID IN FULL AT LEAST
14 DAYS PRIOR TO ARRIVAL (groups larger than 8 may
require payment 30 days prior to arrival)
• MEANS OF PAYMENT ACCEPTED BY GOLF PACKAGES
OF THE CAROLINAS: Visa, MasterCard, American Express,
Personal & Business Checks, and Money Orders.
CANCELLATION
POLICY:
Our goal is to provide you with an excellent golf
vacation, and to keep you as a customer year after
year. We do not like to charge cancellation fees,
but our wholesale contracts obligate us to pay for
reservations that are cancelled on short notice. We
do not profit from cancellations, and we will always
attempt to minimize cancellation fees for our customers.
Otherwise, cancellation charges will apply as follows
for parties of 8 or less. The cancellation policy
is more restrictive for groups of more than 8 –
please call if you need more information.:

If the customer does not pay the
balance of the package price by the prescribed date,
GPC reserves the right to cancel the booking, and
in such cases the customer will also forfeit all monies
paid. Unused portions of the vacation are non-refundable.
We will never cancel a package without attempting
to contact the Group Leader.
Cancellation fees may differ for
individuals who "drop out" of a group. In
addition, if somebody drops out of a package, the
"per person" price of the package may change,
thereby impacting the remaining members of the group.
These penalties will be determined on an individual
basis after GPC confers with the Group Leader.
DAMAGE
TO PROPERTY/LOST OR STOLEN PROPERTY/INJURIES TO INDIVIDUALS:
Individuals are responsible for repairs or
replacement of property damaged during the course
of the package. This includes, but is not limited
to hotel property, golf courses, and any other goods
leased or purchased through GPC. Additionally, GPC
is not responsible for lost or stolen property, or
injuries incurred during the course of the package.

WHAT
IS CHECK-IN TIME; WHAT IS CHECKOUT TIME?
Check-in time is after 4 PM. Checkout time is 11 AM.
Early check-in and late checkout is at the discretion
of the hotel. Additional charges associated with late
checkout are at the discretion of the hotel.
HOW
DO I ARRANGE AN EXTRA NIGHT OF LODGING?
Contact us immediately if you would like to arrange
an extra night of lodging at the package rate. Availability
of additional lodging and associated costs will vary.
WILL
THE “PER PERSON” PRICE OF MY PACKAGE CHANGE
IF THE NUMBER OF PEOPLE IN THE GROUP CHANGES?
The “per person” price of your
golf package may change depending on the specifics
of your package. Please contact us to determine the
impact of changes on the package price.
CAN
MARRIOTT REWARD POINTS BE USED TO COVER GOLF PACKAGE
COSTS? Marriott Reward points may
not be used to cover costs associated with the package;
however, you may earn some reward points for the package.
Please advise the hotel that you are a Marriott Reward
member when you check in to the hotel.
WHAT
IF IT THERE IS BAD WEATHER WHEN I’M SCHEDULED
TO PLAY? If weather should cause the
course to close, you will receive a refund after the
course has notified us that we will not be charged
for the round. If you’ve already started play
and have played a few holes, the course may determine
there will be some charges; this decision is made
by the course. If it should rain and the course is
not closed, you may play or go to the pro shop and
ask for a rain check. Rain checks are generally good
for a year. Policies vary by course.
WHAT
IF THERE IS A FROST DELAY? If there
is frost, the course will not run on time. Walking
on frost will kill the grass and all courses are extremely
rigid in this policy. In cases of a frost delay, your
tee time is moved back in sequence. You may ask us
to try to reschedule your tee-time, or you may ask
the course for a rain check. Issuing rain checks is
at the discretion of the course.
WHAT
IF I CAN’T MAKE MY TEE TIME?
If you notify us prior to your tee time, we will do
our best to reschedule your round, or get a rain check
that you may use in the future. There are no refunds
for missed tee times.
WHAT
IF I WANT TO CHANGE MY TEE-TIME? All
requests for tee-time changes prior to your trip must
be coordinated through GPC. After you arrive in Hilton
Head, you may contact the course or GPC to change
tee-times. Additional charges may be involved.
WHY
DO WE HAVE TO PAY FOR OUR PACKAGE 14 DAYS PRIOR TO
OUR ARRIVAL? Prior payment is required
to reserve discounted, quality tee-times and lodging
in advance. It is really no different than when you
make advance payment to a travel agent for a trip,
or when you pay in advance for discounted airline
reservations, or for advance tickets to a ball game.
When we make tee-times and lodging arrangements on
your behalf, we are obligated to other companies.
Because these companies may not be able to re-sell
their product if you decide to cancel on short notice,
they will charge us whether or not you use your lodging
and tee-times. In addition, we believe it is reasonable
to expect all members of your group to be committed
to the trip at least 14 days prior to your arrival.
WHAT
ARE THE GOLF DESK’S HOURS? Golf
Directors are generally available Monday through Friday
from 9:00 a.m. to 5:00 p.m. If you need to contact
them during non-business hours, please leave a message
with the hotel’s front desk, or leave a message
on the Golf Desk Direct Line (see numbers below).
Be sure to mention the Group Leader’s name and
how you may be contacted. Messages are checked periodically
on weekends and holidays.
WHAT
IS THE DRESS CODE? Nearly all courses
require non-metal spikes and proper golf attire, i.e.,
collared shirts for men and NO jeans, denim or tee
shirts. Golf sandals are acceptable.
